The Accounts Receivable Clerk & Front Desk Support position is responsible for managing daily A/R activities while also serving as the first point of contact for incoming phone calls. This role ensures accurate customer billing, timely cash application, and excellent customer service. The ideal candidate is detail-oriented, organized, and comfortable multitasking in a fast-paced sheet metal fabrication environment, where accuracy and timely communication directly support production workflow and cash flow.
- Process customer payments (checks, ACH, credit cards) and accurately apply them in QuickBooks.
- Prepare and send customer invoices, statements, and billing summaries for fabrication jobs and custom metal orders.
- Monitor outstanding accounts and conduct routine A/R follow-up calls and emails.
- Reconcile A/R balances daily, weekly, and monthly.
- Assist with resolving billing discrepancies related to job numbers, material pricing, fabrication labor, and delivery charges.
- Maintain accurate customer account information and documentation.
- Call customers that are delinquent on payments and log notes.
- Answer and route incoming phone calls professionally and efficiently.
- Serve as the first point of contact for customers picking up fabricated metal orders or dropping off work requests.
- Maintain a clean, organized, and welcoming front office area.
- Assist with administrative duties, including data entry, scanning work orders, filing delivery tickets, and managing incoming mail.
- Minimum 2 years of hands-on experience using QuickBooks (Desktop or Enterprise required).
- 1–3 years of A/R, billing, or general accounting experience.
- Strong computer skills, including Microsoft Excel, Outlook, and accurate data entry.
- Professional phone etiquette and customer service mindset.
- High level of accuracy, attention to detail, and the ability to manage multiple priorities.
- Experience with job costing, production orders, or fabrication-related billing.
- Experience handling customer deposits, progress billing, or large commercial accounts.
- Ability to sit at a workstation and manage phone/computer work for extended periods.
- Ability to lift up to 20 lbs. occasionally (files, boxes, small metal samples, etc.).
- Office environment connected to a fabrication shop; occasional exposure to noise when interacting with production staff.
