As an Office Assistant, you will be the friendly face at the front desk, manage administrative tasks with precision, and support various departments to help us achieve our goals. - Greet visitors, clients, and staff with professionalism and warmth at the front desk, ensuring a positive first impression.

- Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently.

- Perform data entry and maintain accurate records using Microsoft Office applications and Google Workspace tools.

- Handle filing, document proofreading, and organize office supplies to keep the workspace tidy and functional.

- Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff or executives.

- Support bookkeeping tasks using QuickBooks or similar software to track expenses and invoices.

- Provide excellent customer service by responding promptly to inquiries via phone or email, supporting client needs with professionalism.

- Perform clerical duties such as photocopying, scanning documents, and preparing correspondence to ensure smooth administrative workflows.


- Proven experience in office management or administrative roles with strong organizational skills.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive).

- Familiarity with QuickBooks for bookkeeping and financial record-keeping.

- Excellent phone etiquette with experience managing multi-line phone systems in a professional setting.

- Bilingual abilities are highly valued to serve diverse client bases effectively.

- Strong typing skills combined with attention to detail for proofreading and data entry tasks.

- Ability to handle office responsibilities efficiently while demonstrating excellent time management skills.

- Previous experience as a dental or medical receptionist or personal assistant is a plus but not required; we value eagerness to learn!

- Knowledge of office equipment operation including fax machines, scanners, and printers is beneficial.
