About The Role
We are seeking a proactive and detail-oriented Administrative Group Assistant to join our dynamic team. This role is pivotal in supporting our managers and leadership team by managing day-to-day administrative tasks, coordinating logistics, and ensuring smooth operational workflows. The ideal candidate will thrive in a remote work environment, demonstrating excellent organizational skills, resourcefulness, and the ability to anticipate the needs of busy professionals. The Administrative Group Assistant will also provide occasional in-person support for our President in the Brookline, MA area, making proximity a plus. This position offers an exciting opportunity for a self-starter who enjoys working independently, taking initiative, and contributing to a seamless operational environment that enables our team to focus on strategic priorities.
Qualifications
- 3+ years of experience in administrative, executive support, or operational roles within fast-paced environments
- Exceptional organizational and multitasking skills
- Proficiency with real-time communication tools, particularly Slack
- Ability to quickly learn and adapt to new systems and technologies
- Strong problem-solving skills with a solutions-oriented mindset
- Demonstrated professionalism, discretion, and reliability
- Willingness to become a notary within 3 months of employment or already certified
- Ability to assist with occasional in-person tasks near Brookline, MA
- Excellent verbal and written communication skills
- Self-motivated with the ability to work independently and proactively
- Manage administrative and operational tasks to free managers from routine responsibilities
- Coordinate scheduling for meetings, offsites, and cross-functional sessions
- Assist with expense reporting and reimbursements as needed
- Support the President with in-person errands, document handling, and logistical arrangements
- Serve as a reliable point of contact for urgent requests requiring local presence
- Prepare agendas, gather materials, and ensure all meeting logistics are arranged for success
- Record and distribute meeting notes, track action items, and facilitate follow-up activities
- Act as a central hub for information flow, triaging requests and routing updates appropriately
- Communicate efficiently within our Slack-first environment to ensure timely information sharing
- Take ownership of various ad-hoc projects, demonstrating flexibility and problem-solving skills
- Identify opportunities to streamline processes and enhance team efficiency
- Competitive hourly pay range of $40 - $45
- Full-time, non-exempt employment status
