Job Summary
We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This vital role combines front desk management, administrative support, and customer service to ensure our office runs smoothly and efficiently. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for visitors and callers, manage administrative tasks, and support various office functions to create a welcoming environment for clients, staff, and partners alike.
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
- Handle incoming calls, direct inquiries appropriately, and take detailed messages when necessary
- Maintain organized filing systems, data entry records, and manage correspondence efficiently
- Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
- Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare documents, reports, and presentations
- Perform clerical duties including proofreading documents, managing invoices using QuickBooks or similar bookkeeping software, and maintaining accurate records
- Proven office experience or administrative background with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and phone etiquette essential for effective communication
- Bilingual abilities are highly desirable to assist diverse client needs
- Familiarity with QuickBooks or bookkeeping software is a plus for handling invoicing and financial records
- Excellent typing speed along with strong organizational and time management skills
- Demonstrated ability to handle clerical tasks such as filing, data entry, proofreading, and calendar management efficiently
- Strong customer service orientation with a professional demeanor in person and over the phone
- Personal assistant or medical/dental receptionist experience is advantageous but not required
