SEETECH, LLC is seeking a detail-oriented and service-driven Operations Coordinator to support our sales, inventory, and order processing functions. This role enters sales ticket information into our inventory management system, coordinates with multiple warehouse locations for product availability and status, prepares customer quotes, and provides proactive updates throughout the order lifecycle. The Operations Coordinator might also perform light accounting tasks in QuickBooks Desktop from time to time, helping ensure accurate invoicing and reconciliations. The ideal candidate is organized, communicative, and comfortable working in a fast-paced, industrial services environment.
- Enter and validate sales ticket information in inventory system; ensure item numbers, quantities, pricing, and customer details are accurate and complete.
- Coordinate inventory checks across SEETECH warehouse locations; request product information, confirm availability, and document lead times.
- Prepare, revise, and send customer quotes; follow up on open quotes and convert to orders in alignment with pricing and margin guidelines.
- Monitor order status from quote to delivery; provide timely updates to customers and internal stakeholders (sales, warehouse, fabrication, logistics).
- Create and issue purchase orders or transfer orders as needed to fulfill demand; track receipts and resolve exceptions.
- Maintain data accuracy for serial/lot numbers, bill of materials (if applicable), and item substitutions; flag discrepancies for resolution.
- Support light accounting tasks in QuickBooks Desktop, including invoice creation, payment application, and basic reconciliations under oversight.
- Generate daily/weekly activity reports (open quotes, backorders, allocations, and shipments) and escalate risks to delivery timelines.
- Answer inquiries via phone and email; document interactions and commitments in systems of record.
- Collaborate with warehouse and fabrication teams to prioritize orders, expedite materials, and meet customer deadlines.
- Contribute to continuous improvement by suggesting process updates, templates, and checklists to reduce errors and cycle time.
- High school diploma or equivalent; associate degree in business, operations, or related field preferred.
- 1–3 years of experience in sales support, order entry, inventory coordination, or operations in an industrial/warehouse environment.
- Hands-on experience with ACCTivate (or similar inventory/ERP systems) strongly preferred.
- Familiarity with QuickBooks Desktop for invoicing and payment application is a plus.
- Proficiency in Microsoft Office (Outlook, Excel, Word); ability to learn new systems and follow SOPs.
- Strong attention to detail with excellent data entry accuracy and follow-through.

- Microsoft Office 365 (Outlook, Excel, Word).
- Full-time, on-site schedule (typical business hours) with occasional overtime based on customer demand.
- Primarily office-based with regular communication to warehouse teams; occasional walk-throughs in warehouse.
- Ability to sit, stand, and use computer/phone for extended periods; lift up to 25 lbs. occasionally.
