Accounts Payable Specialist

Summary of Role

Beaver Steel Services is seeking a highly capable and detail-oriented Accounts Payable Specialist to join our Finance team. This position will be responsible for processing all invoices and payments in an accurate, efficient and timely manner across multiple entities. This role is essential to maintaining accurate financial records, ensuring positive vendor relationships and supporting month-end close activities. The ideal candidate will have a solid understanding of accounting principles, strong organizational skills and is solution focused.

Key responsibilities

- Process supplier invoices accurately and timely across multiple entities ensuring all invoices are properly authorized, coded and entered into our accounting systems.

- Reconcile any discrepancies between invoices, purchase orders and receiving documentation.

- Prepare and process weekly payment runs (checks and ACH’s).

- Maintain accurate and up-to-date vendor files, including contact information, payment terms and W-9 forms. Respond to vendor inquiries in a professional and timely manner.

- Reconcile vendor statements and investigate and resolve any discrepancies.

- Maintain accurate and complete records of all transactions while properly filing all completed paperwork.

- Serve as the primary point of contact for internal and external stakeholders for A/P queries.

- Assist with month-end closing activities including reconciliation of I/C transactions and reconciling our open receivers – not invoiced report.

- Contribute to process improvements across accounts payable to increase efficiency and accuracy.

- Ensure compliance with all internal controls, company policies and procedures, and relevant accounting regulations.

Requirements:

Knowledge, Skills & Abilities

- Strong understanding of accounts payable processes and fundamental accounting principles.

- Experience in ERP/accounting software with some knowledge in MS Excel.

- Must have strong organization skills, attention to detail, time management skills and analytical and problem-solving skills.

- Excellent verbal and written communication skills.

- High level of integrity and discretion in handling confidential information.
