The Office Manager & Executive Assistant is responsible for the overall management, coordination, and effectiveness of the Houston office, a 15-person onsite location. This role owns all aspects of the physical office environment and day-to-day operations while providing executive administrative support to senior leadership. The position requires a high degree of autonomy, judgment, and discretion. The individual in this role ensures the office operates efficiently, supports productivity, and reflects company standards, while anticipating needs and resolving issues independently.
- Own and manage daily office operations to ensure a safe, functional, organized, and professional workplace
- Serve as the primary point of contact for building management, landlords, vendors, and service providers
- Coordinate facilities maintenance, repairs, cleaning, security access, and office equipment
- Manage office supply inventory, ordering, and vendor relationships
- Monitor and manage office-related expenses, invoices, and budget tracking
- Ensure compliance with workplace safety standards, company policies, and operational procedures
- Coordinate office setup for new hires, including workspace readiness, equipment, and access
- Manage office moves, space planning, and reconfigurations as required
- Develop, document, and improve office processes and operational workflows
- Provide administrative support to senior leadership, including calendar management, scheduling, and meeting coordination
- Prepare meeting agendas, materials, presentations, and follow-up documentation
- Coordinate travel arrangements and itineraries
- Maintain confidential records and handle sensitive information with discretion
- Support executive-led initiatives and special projects as assigned
- Act as the central point of coordination for office communications and logistics
- Coordinate internal meetings, leadership sessions, client visits, and onsite events
- Ensure consistent standards for office presentation, organization, and hospitality
- Support internal communication related to office operations and scheduling
- Partner with HR, IT, and leadership to support onboarding, engagement, and operational needs
- Independently manage day-to-day office operations and vendor coordination
- Make operational decisions within established budget and policy guidelines
- Escalate issues that materially impact cost, risk, or business continuity
- Minimum of 5 years of experience in office management, executive assistance, or a combined role
- Demonstrated ability to manage an office environment independently
- Strong organizational, time management, and prioritization skills
- Excellent written and verbal communication skills
- High level of discretion and professionalism
- Proficiency with Microsoft Office and scheduling tools
