Service Dispatcher / Office Coordinator – HVAC Company

Established local HVAC company is looking for the right person to help run the front office and keep daily service operations organized.
We’re looking for someone dependable, professional, organized, and confident handling a busy schedule. This is an important role where your work matters every day. You’ll be the main point of contact for customers, help coordinate technicians in the field, and assist with keeping the office running smoothly.

- Answer customer calls professionally
- Schedule service appointments
- Dispatch technicians and manage daily schedule
- Handle schedule changes and urgent service calls
- Communicate with customers and field staff
- Assist with invoicing and billing support
- Follow up on accounts receivable / past due balances
- Keep customer records and job notes accurate
- Help maintain an organized, clean, professional office
- Support daily office operations as needed
- Organized and detail-oriented
- Strong communication skills
- Confident handling multiple priorities
- Friendly but professional with customers
- Reliable and punctual
- Comfortable discussing past due invoices professionally
- Positive attitude and team mindset
- Basic computer skills
- Dispatching or scheduling
- Accounts receivable / billing experience
- Office management or front office experience
- HVAC, plumbing, electrical, construction, or service industry experience
- Customer service background
- $22–$25/hour depending on experience
