'We are seeking a dedicated HVAC Service Install Coordinator - Dispatcher to join our team in Somersworth NH. This vital role ensures efficient scheduling and dispatching of HVAC service repair and installations, supporting our mission to deliver reliable energy solutions while fostering a collaborative work environment. Responsibilities
- Responsible for efficient communication, harmonious interaction and support of co-workers and management team members.
- Contacts or responds to Service and Sales personnel to obtain or provide information and direction.
- Researches past work orders in BlueCow software and DocStar to resolve problems.
- Effectively dispatches jobs to Technicians.
- Schedules work for the Service Technicians in the computer system by using the computer dispatch scheduling. (BlueCow)
- Continually checks department voice loop, shared department email & Answering Service E-mail.
- Performs other tasks as assigned by Manager to provide general support to company operations.
- Reviews log notes daily.
- Assists in performing the core tasks of other personnel within the department as needed in their absence.
- Reviews the Service Schedule a week out & day before for travel issues with technicians. Adjusts schedule as needed.
- Reviews schedules install of special-order parts immediately upon notification.
- Sends reminder emails and/or calls the customer the day before their appointments.
- Runs monthly reports for LP, Oil, and AC cleanings/tune ups. Call/emails Palmer customers to schedule.
- Runs tank lock/unlock report and ensures the delivery hold is taken off of the customer’s account.
- Reviews & schedules install of special-order part immediately upon notification.
- Works the CSST Bonding report ensuring customers are contacted and delivery hold is placed on the account and removed after the bonding had taken place.
- Works the Red Tags turned in by the Technicians. Contacting customers and ensuring the account is placed on hold and taken off on hold as needed.
- Check daily for Dig Safe requests and schedule line locating as needed.
- Schedules work order for Final Meter Reading immediately upon request
- Schedules work orders for locking meters and tanks upon request from the meter/credit department.
- Runs and works the Customers with delivery hold reasons report of locked tanks by contacting the customer or other departments as needed.
- Maintains Testos.
- Assists in communicating with customers on billing inquires that have to do with Service.
- Communicates with the delivery team for emergency gas/equipment checks scheduled for that day.
- Always maintains and promotes company brand guidelines and core values (Friendly, Simple, Safe).
