Job Overview
The Office Manager / Dispatcher plays a key role in our growing HVAC service business. This position requires strong organization, reliability, and the ability to manage multiple priorities. The ideal candidate communicates well with customers, is comfortable with basic software systems, and works closely with both the Operations Manager and Controller.

- Dispatch and schedule service technicians efficiently (primary responsibility)
- Coordinate with customers regarding appointments and service updates
- Track jobs and service calls through completion
- Collaborate closely with the Operations Manager and Controller
- Answer phones and respond to emails in a timely, professional manner
- Manage basic office operations (mail, coordination, general clerical tasks)
- Assist with payroll data collection (no processing required)
- Enter accounts payable (AP) into QuickBooks Online
- Record customer payments and assist with accounts receivable (AR)
- Dispatching experience in a service-based business preferred
- Construction or HVAC industry experience a plus
- Basic accounting experience a plus
- Strong organizational and office management skills
