Job Summary

We are seeking a dynamic and highly organized Front Office Workflow Manager to lead and optimize the daily operations of our front office environment. This pivotal role involves overseeing administrative processes, managing all aspects of invoicing, coordinating new hire processing, and ensuring seamless communication across departments. The ideal candidate will excel in office management, team supervision, and workflow coordination. Your energetic approach will drive productivity, uphold high standards of professionalism, and support the overall success of our organization. You will take work direction from company senior management.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

· Promotes and lives company safety culture at all times

· Organizes and maintains essential company records (contracts, legal, vendor, personnel, training, quality, W&M licensing, safety)

· Manages customer invoicing workflow thru the VTMW system

· Assists the company Controller and Bookkeeper with assigned bookkeeping, payroll and clerical duties

· Assists senior management with business process improvement and other assigned projects

· Assists senior management with Human Resource Management activities including medical insurance, employee handbook, OSHA compliance and state weights and measures licensing

· Assists senior management with quality system data, process and compliance activities as assigned

Education and/or Experience

A High School diploma or equivalent. A minimum of 10 years of experience in office management related roles. Additional college or technical school training, certificate or degree desired. The employee must have a valid driver’s license with a safe driving record.


Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations in the English language. Ability to effectively present information and respond to questions from managers, clients, customers, and the general public.


Mathematical Skills

Ability to work with mathematical concepts such as basic math, probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.


Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


Computer Skills

To perform this job successfully, an individual should have a demonstrated working knowledge of the Microsoft Windows environment, and Microsoft Office (Excel, Word and PowerPoint) software. The ability to create original spreadsheet or database tools is desired.

Pay: $45,000.00 - $65,000.00 per year
