The Workflow Coordinator is responsible for the end-to-end management of service orders, ensuring that field technicians, subcontractors, and equipment are deployed efficiently to meet client KPIs.
- Work Order Management: Receive, triage, and assign daily work orders for utility checks, meter reading, or infrastructure maintenance.
- Dynamic Scheduling: Adjust field schedules in real-time to account for daily volumes, weather delays, or technician absences.
- Geographic Optimization: Group tasks by location to minimize travel time and fuel costs for field crews.
- Daily Monitoring: Use work management software to monitor the progress of field teams.
- Issue Resolution: Act as the first point of contact for field crews encountering access issues, equipment failure, or technical discrepancies.
- Data Integrity: Ensure all completed work orders are uploaded correctly with necessary timestamps, and digital signatures.
- Reporting: Compile data for weekly/monthly performance reports to ensure the company remains compliant with utility providers (the clients) SQIs.
- Equipment Tracking: Coordinate the calibration and maintenance schedules for specialized utility tools (e.g. handheld devices/tablets).
- Client Liaison: Provide regular status updates to utility providers (the clients) regarding completion rates and any system outages.
- Customer Service: Coordinate with residential or commercial property owners to schedule interior access for utility services.
- Experience: 2–4 years in operations, dispatch, or logistics, preferably within utilities, construction, or skilled trades.
- Technical Proficiency: Advanced knowledge of Microsoft Excel (data sorting, pivot tables, macros) and experience with Work Management Systems. Nice to have, but not essential: knowledge of Python, GitHub, Docker, SQL.
- Soft Skills: Exceptional "cool under pressure" problem-solving abilities and the clear communication style needed to talk to upper management and field labourer's.
- Local Knowledge: A strong understanding of the local geography (Greater Toronto Area).
Contract Note: This is an initial 4-month contract intended to support current operational demands. Based on performance and business needs, there is a possibility of this role converting into a Full-Time Permanent position at the end of the term.
