About the Role

The Field Onboarding Administrator is part of the Operations team and plays a key role in ensuring every new hire enters Pitbull ready to succeed. You’ll coordinate all onboarding logistics for field employees—including offer letter administration, compliance documentation, benefits and orientation setup, field/shop coordination, and Day 1 readiness.

You will work closely with the Field Recruiter, Dispatch, HR, and HSE, to make sure new team members have the right information, training, equipment, and support before stepping onto a site.

What You’ll Do


Onboarding & Administration

- Prepare, issue, and track offer letters, pre-employment documentation, and required certifications.

- Manage onboarding checklists and ensure new hire requirements are completed (TDG, WHMIS, driver’s abstracts, certificates, orientations, evaluations, etc.).

- Coordinate Day 1 logistics with Dispatch, HSE, Payroll, and HR.

- Coordinate additional training for field staff as required.

- Ensure employee profiles, classifications, and job codes are set up correctly in HRIS and payroll systems.

- Collect and verify new hire paperwork with a high degree of accuracy and compliance.

- Schedules required drug/alcohol testing with off-site agencies.


Field Coordination

- Schedule new hires for site orientations, shop walkthroughs, field training, fit testing, and safety requirements.

- Work with Field Trainers and Supervisors to ensure new employees receive proper onboarding, competency assessments, and initial training.

- Track and follow up on missing documents, tickets, and expiries.


Communication & Support

- Serve as the primary point of contact for new field employees from offer stage through their first hitch.

- Provide timely responses to new hire questions and guide them through onboarding expectations.

- Ensure onboarding materials reflect current processes, safety requirements, and Pitbull standards.

- Participate in job fairs with the Recruitment team as needed.


Data, Compliance & Documentation

- Maintain accurate electronic employee files and ensure compliance with privacy legislation.

- Support audits by preparing onboarding documentation, training records, and compliance files.

- Generate periodic onboarding metrics


What You Bring

- Experience in a fast-paced environment with tight deadlines, onboarding, or administrative support (energy services, construction, industrial, or related field preferred).

- High attention to detail and accuracy—especially with documentation and compliance.

- Strong communication skills and a customer-service mindset.

- Ability to juggle multiple priorities in a fast-moving, high-volume environment.

- Proficiency in Microsoft Office; experience with HRIS/payroll systems is an asset.

- A proactive approach—you notice gaps, bring solutions, and keep things moving.
