Job Overview
The Accounting Specialist ensures all payments requests are properly approved and documented. Ensures vendors are paid according to payment term/plans. Also responsible for reconciling purchase orders and invoices timely, receiving reports for payment, filing the necessary documents and performing month end activities, journal entries, reconciling balance sheet accounts and other tasks as assigned.
- Handles the accounts payable responsibilities including but not limited to: (1) three way matching, (2) processing invoices into system including GRN matching, (3) cutting checks to vendors, (4) reviewing payable statements, (5) handling vendor payment inquiries, (6) processing the monthly AP accrual, (7) process and review the expense reports, (8) process and review the credit card statements, (9) Vendor Set Up, (10) ACH / Wire process.
- Reconciles processed work by verifying entries and comparing system reports to balances.
- Prepare and review reconciliations for all Balance Sheet accounts and material P&L accounts.
- Timely communication with the Purchasing unit and Mine operations.
- 1099 Year-end filing process.
- Review expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries.
- Pays employees by receiving and verifying expense reports and requests for advances and preparing checks.
- Maintains accounting ledgers by verifying and posting account transactions.
- Verifies vendor accounts by reconciling monthly statements and related transactions.
- Maintains historical records by scanning and filing documents.
- Disburses petty cash by recording entries and verifying documentation.
- Reports sales taxes by calculating requirements on paid invoices.
- Reconciles banking statements.
- Protects organization's value by keeping information confidential.
- Assist audit process as requested by supervisor.
- Updates job knowledge by participating in educational opportunities.
- Accomplishes accounting and organization mission by completing related results as needed.
- This role requires frequent interaction with department employees, supervision, management, and vendors to assist, service, support, and for problem resolution as needed.
- Ability to build trust and develop positive working relationships with site personnel and regulatory agencies. Ability to provide strong leadership and act as an effective change agent.
- Ability to interact with all departments or groups for problem resolution.
- 3 to 5 years in an accounting environment, required
- Computer literate and proficient with common word processing, spreadsheet, presentation and database software.
- General Accounting education/experience, required
- Strong technical accounting skills, understanding of accounting concepts and comprehension of business-related implications.
- Knowledge of products within the mining industry, preferred.
- Knowledge of ERP systems (NewSuite and/or Oracle).
- Strong time management skills with the ability to be self-motivated, flexible, work tight deadlines, and handle the pressure of last-minute requests with little to no supervision.
- Excellent interpersonal/relationship skills; able to communicate with individuals at all levels of the organization, written and oral.
