- Courteously and professionally receive and screen all inbound calls, emails and visitors
- Maintain professional image and demeanor with all employees, management, and visitors
- Provide administrative support to all department members
- Support employee onboarding and offboarding (IT accounts and access)
- Maintain daily communication and documentation regarding personnel, employee scheduling, fleet and equipment requirements, and customer or resource needs
- Ensure all staff have required training prior to being dispatched
- Ensure resource planning software is updated and accurate in real-time
- Support field staff with mobilization and return to base requirements including pre-trip and journey management compliance
- Support accommodation requests and confirmation for field staff through hospitality partner
- Ensure employees are provided with proper billing codes and work orders for accurate time entry
- Plan and organize meetings; attend meetings, take minutes, and create agendas
- Maintain assigned records and databases
- Review and prepare documents, reports, and other correspondence materials
- Maintain a high level of confidentiality in all interactions
- 1-2 years experience in Office Administration
- Post Secondary certificate in Office Administration, Business, or related field of study an asset
- Experience in the Medical, Safety or Oil & Gas industries an asset
- Strong computer skills with the ability to effectively use Microsoft Office Suite including SharePoint
- Strong written, verbal and presentation skills
- Ability to work under own initiative in a fast-paced, dynamic environment with solid organizational, time management and multitasking skills
- Ability to work well with a wide variety of people including but not limited to, office staff, field staff, diverse cultures, and various work experience levels
- High level of sound and independent judgment, reasoning, and discretion
- Willing to take on additional tasks as required and learn new skills
- Valid driver’s license and reliable transportation
