WestCorp Solutions is a small, fast-paced staffing and consulting company seeking an experienced Workforce Operations Administrator to support the day-to-day execution of onboarding, contracts, compliance, and administrative operations. This role is ideal for someone who is highly organized, detail-oriented, and comfortable managing complexity. You will work closely with the HR Manager and internal team to ensure workforce documentation, onboarding, and operational tasks are completed accurately and on time across multiple clients, provinces, and contract types. This is not a traditional HR role. It is a hands-on, execution-focused position for someone who takes ownership of their work, understands urgency, and proactively follows through to completion.
- Own and manage the end-to-end onboarding process for employees and independent contractors, including contracts, agreements, testing requirements, training verification, and client site access
- Prepare, issue, track, and follow up on contracts, extensions, and workforce documentation to ensure timely completion
- Maintain accurate and up-to-date worker records in internal systems and client portals
- Coordinate onboarding and documentation requirements across multiple clients, provinces, and contract types (T4 and Independent Contractor)
- Track open items and proactively follow up internally or externally to keep work moving forward
- Support workforce compliance and administrative processes, including document control and record-keeping
- Assist with general office and operational administration as needed, including ordering supplies and supporting internal processes
- Identify gaps or inefficiencies in administrative or onboarding processes and suggest improvements
- Highly organized and detail-oriented, with the ability to manage multiple moving parts accurately
- Takes ownership of work from start to finish, including proactive follow-up to ensure timely and accurate completion
- Comfortable navigating changing requirements and adapting processes across clients, provinces, and contract types
- Pays close attention to detail and seeks to fully understand requirements before proceeding
- Confident communicating with internal team members to obtain clarification or information needed to complete tasks
- Thrives in a small-team environment where priorities can shift and work is varied
- Several years of hands-on experience in workforce administration, HR operations, compliance, or a similar coordination-heavy role
- Experience managing onboarding, contracts, or compliance documentation across multiple stakeholders or jurisdictions
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Comfortable working independently while collaborating closely with a small internal team
- Proficiency with Microsoft Office (Excel, Word, Outlook)
- Experience with ATS, HRIS, or client/vendor portals is an asset, but not required
