Job Summary
The Service Coordinator is responsible for providing customer service and administrative support for the service departments. S/he will coordinate the repair and assignment of equipment repair, provide updates to customers, field customer inquiries, and provide general coordination of technical service work.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Service order processing and answering customer inquiries. Speaks with customers by phone or in person and receives orders, and processes service orders. Acts as a liaison between customers and technicians.
- Creates estimates and invoice repairs. Allots repairs to respective technicians. Follows-up on un-returned repair estimates.
- Weekly/Monthly/Quarterly reporting as required by management, this includes Physical Inventory Counts.
- Invoices monthly billing for Independent Contractors. Document and file accordingly.
- Adjusts complaints concerning billing or services rendered, referring complaints of service failures to designated departments for investigation. Assists the Accounting department with service department invoices.
- Provides administrative support for service department and service department manager.
- Receives and ships parts and equipment for customers and service representatives. Orders parts/repairs from factory and/or supplier.
- Maintains files for customer service parts and repairs.
- Tracks the return of exchange modules and handles follow up.
- Files customer orders, invoices, purchase orders and invoices.
- Ability to read and write reports, read business correspondence, and procedure manuals.

- SAP knowledge a plus as well as the aptitude to learn SAP.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear. The employee must regularly lift and/or move up to 25 pounds.
Specific vision abilities required by this job include color vision, peripheral vision, depth perception, and ability to adjust focus. While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and high, precarious places. The noise level in the work environment is sometimes loud.
There may be travel on special occasions to address training and rental concerns in remote locations.
