Overview
We are seeking a dynamic and highly organized Service Dispatcher to join our service and logistics team. Under the general supervision of the Service Manager, the Service Coordinator is responsible for maintaining the schedules of the Technician team, assisting with permitting, and serving as the first point of contact for clients and customer service needs regarding service calls.
- Imports service sales.
- Reviews daily assigned work with Technicians.
- Reviews after-hours faxes, noting how the Technician responded to the call (i.e., field response, phone call with customer, etc.) and coordinates any additional response necessary.
- Monitors and adjusts Technician schedules in Ignite and Samsara, communicating with Management, Technicians, and customers about any changes.
- Schedules all cleanings and follow-up work.
- Answers phone calls and addresses customer inquiries in a prompt, professional, and courteous manner.
- Exercises precise attention to detail when onboarding new customers and servicing customer accounts, ensuring that all accounts are kept up to date.
- Schedules service and cleaning calls, maintains the Technician calendars, and ensures work orders are properly documented, keeping Technicians appraised of any changes.
- Provides general administrative support to the Service Manager.
- Provides general administrative support to Sales staff in executing contracts, when applicable.
- Provides backup to Customer Service Representatives in the event of clogged phone lines during seasonal peaks.
- Monitors schedules one week ahead to fill holes
- Follows up on previously sent proposals that require response.
- Schedules property management cleanings.
- Runs System Checks Report, following up on recommendations and other service needed.
- Verifies and/or closes out any open work orders.
- Performs all other similar duties as required.
- High school degree or equivalent.
- 1-2 years prior experience in administrative and customer service work.
- Strong organizational skills and attention to detail.
- Ability to adapt to shifting priorities, and remain calm and professional in all situations.
- Ability to work extended hours as necessary, especially during peak demand seasons
- Prior experience with Ignite and Blue Cow.
- Prior experience working for a fuel company.
- Bilingual in English and Spanish.
Received: Works under the general direction of the Service Manager.
- Moderately noisy office, subject to frequent interruptions.
- Not subject to extreme variations of temperature and odors.
