The Project Coordinator acts as the primary point of coordination for madetoorder manufacturing projects, supports Project Managers on engineered design and supply initiatives, and may be responsible for coordinating and delivering smaller projects independently.
Key responsibilities across each project phase include, but are not limited to:
- Provide support in the creation and review of project quotations within the ERP system, including preparation and submission of proposals.
- Review purchase orders against approved proposals to ensure alignment with project objectives, feasibility, contractual terms, and defined scope.
- Complete and coordinate required internal approvals in accordance with organizational policies and governance processes.
- Create and set up projects within the ERP system in accordance with approved scope and governance requirements.
- Establish and maintain forecasted project budgets throughout the project life cycle, in collaboration with the Project Manager, Estimating, and Sales teams.
- Manage and maintain projectrelated documentation to ensure accuracy, version control, and accessibility.
- Track project activities against schedule
- Coordinate task assignments and follow up on action items
- Support in resolution of scheduling conflicts
- Serve as communication link between project manager, team members, and stakeholders
- Distribute project updates, meeting notes, and status reports
- Maintain project documentation
- Escalate concerns to the project manager as needed
- Track change requests while maintaining an accurate forecast within the ERP system
- Support audits or reviews during execution
- Collect progress updates from team members
- Identify variances in scope, schedule, or risk to cost overruns
- Support corrective actions to keep project on track
- Track schedule, cost, scope, and deliverables against the project plan
- Monitor mitigation actions and due dates
- Track approvals, rejections, and implementation status
- Maintain compliance with organizational requirements
- Ensure deliverables are finalized
- Verify documentation is complete
- Assist with closing vendor contracts and confirming final invoices
- Support reconciliation of project costs and budgets
- Coordinate lessons-learned sessions or surveys
- Distribute final project status or closure reports
- Verify all administrative tasks are completed
- Bachelor's degree in Business Administration, or Project Management, or Engineering or any related field is preferred.
- 3 or more years minimum experience in a project support or administrative coordination role.
- Proficient in communication in English, both in speaking and writing
- Experience with Microsoft Dynamics ERP system is considered an asset
- Familiarity with the controls, documentation, and reporting requirements of a publicly traded company environment is an asset
- Exposure to projects within the OilGas and or petro-chemical industries is considered an asset
- PMP or CAPM certification, or progress towards certification, is considered an asset.
