The Customer Service Specialist at MPS Mankato plays a vital role in ensuring a positive customer experience, from the initial contact through the order process to final delivery. This specialized role focuses on proactive account management and relationship building. It requires careful attention to detail and sound judgment when handling complex orders, documentation, and coordinating Value-Added Services such as paint, heat treat, and machining.
Responsibilities
- Customer Engagement & Problem Resolution: Serve as the primary professional contact for customers (phone, email, in person) to provide information, address inquiries, and promptly resolve issues. Record interactions and collaborate effectively with internal teams and external customers and partners. Assist logistics with scheduling/expediting shipments.
- Order Lifecycle Management: Accurately receive and process new/change orders. Review and verify purchase orders and documentation for accuracy before entering them into the ERP system. Continuously prepare, update, and monitor production schedules.
- Value-Added Services Coordination: Manage and coordinate value-added service activities (such as paint, heat treat, and machining). This includes issuing purchase orders and change orders to valued-added partners.
- System Administration: Set up and maintain customer data, product masters, new jobs, and tooling orders in the ERP system/database. Generate and monitor Engineering Change Requests (ECR). Complete daily invoicing and process Advance Shipment Notices (ASN).
- High School Diploma. An associate’s degree in business or a related field is preferred.
- 3-5 years of experience in performing clerical and/or customer service-related work.
- Experience with Microsoft Office and data entry.
- Preferred: Experience in a manufacturing or foundry environment.
- Strong composure and decision-making skills under pressure.
- Demonstrates ability to provide outstanding customer service by proactively recognizing needs and resolving complex issues.
- Proven ability to interpret and enforce company policies while exercising independent judgment.
- Strong communication skills, including active listening, and the ability to craft thoughtful, personalized responses.
- The ability to multitask, stay organized, and pay close attention to detail.
