Customer Service Specialist

As a Customer Service Specialist within Factory Services, you must have a very energetic and outgoing personality and must possess strong language skills (orally and written). You must also be conscientious regarding our customers’ needs and always be able to help. The ability to communicate well verbally is very important as frequent phone and electronic communication with a dozen or more customers or prospects per day will be required. Strong written communication skills are equally important for quotes and e-mail correspondence to relay important information about services and/or products. Since you must communicate and process computer information at the same time, you must also be able to multitask well. You will be required to maintain a professional image and attitude.

This is a part time role supporting our Berlin, CT office. Must be able to work and interview in office during scheduled shifts.

RESPONSIBILITIES:

- Generate Returns or Credits in compliance with procedures and established protocol.

- Mastery of Epicor Enterprise Resource Management System.

- Manage sales transactions with customers, plan and coordinate shipping.

- Answering customers’ questions about products, prices, availability, product uses and credit terms.

- Documenting all interactions and communications with customers and prospects through SalesForce.com and Microsoft Teams/SharePoint.

- Maintaining and updating customer records in SalesForce/CRM when in contact during the sales process and when given registration lists from tradeshows.

- Maintain daily, weekly reporting in a timely, professional manner.

- Assisting customers in making product selections based on their needs, product specifications and applicable regulations.

- Preparing sales contracts/quotes for orders obtained and submitting orders for processing

- Follow-up, as needed, on requests generated from customers, Sales Opportunities (Via phone, Heath Info Box, internet, etc.).

- Contact customers weekly to get their feedback on recent purchases.

- Keep manager and sales reps informed of notable client contacts, anticipated sales and problems encountered.

- Substitute for Customer Service Representatives or Receptionist, when called upon, during vacations, sick time, etc.

- Work remotely from home in case of natural disasters or flooding when and if the office is closed.

- Perform other duties as may be requested by the Factory Service Manager.

KNOWLEDGE, SKILLS, AND EXPERIENCE:

- Associates Degree or BS/BA preferred.

- A minimum of two years of work-related experience in customer service, inside sales or similar.

- Knowledge of international shipping and experience with major shipping companies (i.e., UPS, Fedex, Freight Forwarders).

- Ability to communicate with other departments like Production, Engineering, Factory Service, Accounting and Human Resources.

- Must possess a firm knowledge of Microsoft Office including Outlook, Word, and Excel and demonstrate the ability to utilize these programs to a high level of aptitude.

- Microsoft SharePoint/Teams to file all work and share with team members accordingly.

- Firm knowledge of Salesforce for documentation of all customer interactions with an expectation of learning to the level of mastery.

- Ability to accomplish tasks under pressure, determine priorities, and meet varied deadlines. Excellent interpersonal skills and dependable.
