Job Summary
We are seeking a detail-oriented and proactive Accounting Associate to join our dynamic finance team. In this role, you will play a vital part in maintaining accurate financial records, supporting various accounting functions, and ensuring compliance with industry standards. Your expertise will help drive financial integrity and operational efficiency across our organization.
- Receive, review, and verify accounts payable invoices for accuracy and legitimacy.
- Reconcile accounts payable and vendor statements to ensure accuracy and identify discrepancies.
- Serve as a point of contact for vendor inquiries, fostering positive relationships through timely and efficient communication.
- Generate and send invoices to customers.
- Monitor accounts, contact customers for payment, and process incoming payments.
- Maintain precise records of all payments received and accounts.
- Interact with clients to resolve inquiries and address payment issues.
- Conduct credit reference checks on new customers.
- Perform clerical tasks like filing, checking the mail, taking deposits to the bank, check stuffing, answering phones and responding to emails.
- Maintain communication with clients and vendors to discuss accounts, settle balances, and ensure clear reporting.
- Record expenditures and receipts in accounting software (e.g., QuickBooks).
- Assist with 1099 employee payroll processing and related reporting.
- Assist with W2 employee timesheet processing and related reporting.
- Maintain organized physical and electronic filing systems for financial documents, including invoices, receipts, and purchase orders.
- Maintaining a tidy and functional workspace and managing office supplies.
- Perform other administrative and accounting duties as assigned.
- Associate’s degree in Accounting, Finance, or related field (Bachelor’s preferred).
- 1–3 years of accounting or bookkeeping experience.
- Proficiency in accounting software (e.g., QuickBooks, NetSuite, or similar) and Microsoft Excel.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to maintain confidentiality and handle sensitive financial information.
