Rental Coordinator

We are looking for a superstar Inside Rental Coordinator to join our amazing team at Cool Air Rentals! The Inside Rental Coordinator is responsible for managing all aspects of the rental process, including customer service, scheduling, inventory management, and administrative tasks. This role ensures efficient operations and customer satisfaction by coordinating with internal teams and external clients.

What You Will Do:

As an Inside Rentals Coordinator with Cool Air Rentals, you will work closely with all kinds of industries from construction and industrial to film and TV production! You will be collaborating with our outside sales and technical team to develop quotes and liaising with our customers to coordinate contracts and the work.

This position will foster relationships with our customers and advise them on proper equipment selection, implementation and develop the cost for their temporary cooling and heating needs.

- Respond to phone and email rental requests in a friendly and calm manner

- Prepare quotations and open and maintain rental contracts

- Prepare and maintain the proper flow of paperwork from quotation to delivery, and ultimately return, of equipment packages

- Prepare and process documents for inventory, shipping and receiving

- Enter data and maintain equipment databases.

- Use word processing, spreadsheets, and rental software to maintain files and processes.

- Follow up on all rental contracts to ensure a high level of customer feedback and satisfaction.

- Generate regularly scheduled reports.

What You Bring to the Table:

- Fluency in English is required (clear telephone voice)

- Proficiency with Microsoft Office programs (Word, Excel) required. Experience with rental & inventory management software an asset.

- High school diploma and post-secondary education or equivalent

- Technical aptitude and strong customer relations skills.

- HVAC or mechanical knowledge an asset but not required
