We are excited to open the Project Coordinator position, which works closely with Project Managers, Service Managers, and Directors to support the successful execution of fuel system service and maintenance projects—primarily military-based projects. This role is Monday through Friday, based out of our Lakewood, WA location.
As a key administrative and coordination partner, you will help ensure projects are fully prepared, properly documented, and ready for execution by coordinating technicians, parts, customer requirements, access credentials, and compliance documentation.
- Coordinate with Project Managers, Service Managers, and Directors to support active and upcoming projects.
- Assist in coordinating technician assignments and schedules to ensure projects are staffed and ready to proceed.
- Work closely with parts and materials teams to confirm required equipment, parts, and materials are ordered, staged, and available prior to job start.
- Update and maintain project information in internal systems, ensuring accuracy, timeliness, and proper documentation.
- Coordinate directly with customers, including military and government entities, to obtain:
- Site access approvals
- Military base clearances and credentials
- Required administrative paperwork
- Permits and customer-specific compliance documents
- Track and follow up on permits, access requests, compliance requirements, and customer deliverables to ensure projects stay on schedule.
- Prepare, submit, and manage project-related administrative documentation, including forms, approvals, and customer-required records.
- Communicate logistical details clearly to internal teams and external stakeholders to support smooth project execution.
- Act as a point of contact for project coordination questions, escalating issues appropriately when needed.
- Support continuous improvement of project coordination processes, documentation, and system workflows.*This list of job duties is not all-inclusive and is intended to provide candidates with a general overview of the role.
- High School Diploma is required.
- 1-5 years of relevant experience in areas such as office management, customer service, operations, project coordination, project management, permits/compliance, etc.
- Ability to manage multiple online systems and multitask effectively.
- Puts a high value on meeting deadlines, and has displayed achievement of meeting deadlines in prior roles.
- Effective communication skills (verbal, written) - ability to clearly communicate your line of thought and guide others through step-by-step processes.
- Ability to organize a high volume of data, while maintaining high productivity and exceptional accuracy.
- Mid to High typing WPM is a plus.
- Proficiency with Microsoft Outlook (intermediate) and Excel (basic).
- The ideal candidate takes instruction well, learns from mistakes, is self-motivated, takes accountability for their work, and is a team player above all else. Respectful communication and professionalism are requirements of this role.
- This position is expected to pay between $25-$29 per hour.
