We are seeking a detail-oriented, highly organized, and proactive Office Manager to join our landscape construction team. The Office Manager will oversee a wide array of responsibilities including client onboarding, permit processing, payroll coordination, job cost tracking, and scheduling. We are looking for someone who is computer-savvy, adaptable, and eager to grow with our company.
Key Responsibilities
Administrative & Operational Support:
•Oversee and manage all daily office operations to ensure a productive and organized environment
•Process permits and manage related documentation in a timely, accurate manner
•Maintain and improve filing systems and databases to ensure accessibility and accuracy of records
•Continuously review and optimize office systems, procedures, and workflows for greater efficiency
Client Relations & Communication:
•Serve as the first point of contact for new leads, handling intake and onboarding processes professionally
•Manage incoming calls and email communications, directing inquiries to appropriate personnel
•Maintain strong, courteous communication with clients, vendors, and stakeholders
•Support scheduling of site visits and meetings for the sales and field teams
Team Coordination & Scheduling:
•Coordinate calendars and schedules for the sales team, ensuring efficient time management
•Work closely with team leaders to align operational goals with fieldwork needs
•Provide administrative support across departments, including occasional personal assistant tasks for executives
Financial Tracking & Payroll:
•Process payroll accurately and on schedule, in compliance with company and regulatory standards
•Track job costs and monitor project-related expenses
•Assist in preparing reports on project profitability and conduct regular reviews of profit & loss statements
Requirements
•Proven experience in an administrative or office management role; construction or landscaping industry experience is a plus
•Strong organizational skills with the ability to manage multiple priorities and meet deadlines
•Proficiency in Microsoft Office Suite & other Software and other administrative software tools
•Excellent written and verbal communication skills
•High level of attention to detail and accuracy
•Ability to work independently and collaboratively in a fast-paced environment
•Strong initiative with a willingness to learn and grow within the role
•Experience with permit processes, scheduling systems, and payroll platforms is highly desirable
•Bilingual candidates are a plus

Pay: $38,000.00 - $54,586.00 per year
