Position Summary
We are seeking a highly organized and customer-focused Office Administrator to join our team. The ideal candidate will be responsible for managing schedules and providing outstanding support to our customers. This is a full-time position based in our Greenwood, IN office.
Key Responsibilities
•Answering Phones: Handle incoming calls promptly and professionally, addressing inquiries or routing them to the appropriate team member.
•Scheduling Appointments: Coordinate and schedule appointments for our sales and service teams efficiently.
•Lead Intake: Accurately capture and record lead information and schedule initial appointments
•Customer Interaction: Listen to and address customer questions and concerns, providing clear and helpful information.
•Screening Calls: Screen solicitation calls to minimize disruptions.
•Responding to Emails: Manage and respond to customer emails in a timely manner.
•Updating Customers: Keep customers informed about the status of their projects and any pertinent updates.
•Administrative Support: Perform various administrative tasks as needed to support office operations.
Required Skills and Qualifications
•Experience: Previous experience in office administration, bonus points if it was within the construction or home improvement industry.
•Communication: Excellent verbal and written communication skills. Bilingual (English and Spanish) is a bonus
•Organization: Strong organizational skills with the ability to multitask and prioritize effectively.
•Customer Service: A customer-focused attitude with the ability to handle inquiries and resolve issues professionally.
•Technology: Proficiency in Hubspot or a CRM/scheduling tool is preferred but not required
•Problem Solving: Ability to think critically and resolve problems efficiently.
•Detail-Oriented: Attention to detail in managing records and scheduling.
