We seek a dedicated and organized Office Administrator to join our team and help us continue growing and succeeding.
Job Responsibilities:
•Customer Communication: Answer phone calls, respond to emails, and manage chat inquiries from customers in a professional and timely manner.
•Data Entry: Enter customer information into our customer relationship management system (ServiceTitan) accurately and efficiently.
•Scheduling: Schedule appointments and follow up with customers to confirm service dates and times.
•Vendor Management: Assist with receiving shipments and entering vendor invoices into ServiceTitan and QuickBooks.
•Administrative Support: Provide general administrative support to the team, including filing and organizing documents, and maintain a clean and organized office environment.
•Customer Follow-Up: Ensure customer satisfaction by following up on completed jobs and addressing any concerns or feedback.
•Coordination: Coordinate with field technicians to ensure smooth operations and timely service.
•Marketing: Assist in developing and implementing marketing strategies, including managing social media accounts, creating promotional materials, and coordinating marketing campaigns.
Skills and Qualifications:
•Education: A high school diploma or equivalent is required.
•Communication Skills: Excellent verbal and written communication skills.
•Organizational Skills: Strong organizational and multitasking abilities.
•Customer Service: A customer-focused attitude with the ability to handle inquiries and complaints professionally.
•Technical Proficiency: Proficiency in using ServiceTitan, QuickBooks, and Microsoft Office, or the ability to quickly learn new software.
•Attention to Detail: High level of accuracy and attention to detail in data entry and administrative tasks.
•Problem-Solving: Ability to think critically and solve problems independently.
•Team Player: Ability to perform well both independently and as part of a team, supporting colleagues as needed.
•Autonomy: Ability to work autonomously and manage tasks with minimal supervision.
•Experience: Previous experience in an office management or administrative role is preferred.
