Responsibilities:
•Support the office manager, project manager, general contractor, and construction office staff by completing administrative tasks.
•Execute clerical and general office duties such as maintaining files, data entry, typing, copying and other administrative tasks special projects as requested.
•Answer phones as needed and respond to emails professionally.
•Special projects and additional tasks at the discretion and approval of supervisor.
•Process confidential and sensitive information as it arises.
•Escalate to supervisor any/all pertinent information as it arises.
•Communicate with vendors and subcontractors as a point of contact.
•Produce and distribute correspondence.
•Link all project documentation through project management software.
•Able to interpret construction documents.
•Identify, develop, and call potential clients.
•Maintain client list, potential opportunities, and activity.
•Responsible for managing and tracking staff sick and vacation time.
•Insurance – Order certificates for General Liability, Automobiles and Workers’ Compensation as needed. Verify Subcontractor Insurance for compliance with contract requirements.
•Bonding- Request Bid Bonds/Payment and Performance Bonds/Bonding Letters for projects as requested.
•Notice for Projects- Request Notice of Commencements and File Notice to Owners for newly awarded projects.
•License Renewals- Apply for and renew City/County/State Licenses as needed or requested.
•Contracts/Change Orders- Assist in preparation and distribute to correct party upon receipt and save in current projects file. Execute and maintain waivers of lien. Process vendor accounts payable vouchers for payment.
•Owner Direct Purchases – Initiate contracts, distribute and maintain all payment vouchers accordingly.
•Maintain Reports- weekly status meetings, meeting minutes, project information logs, warranty logs.
•Other duties as assigned.

Qualifications:
•High school diploma required - additional degree work is valuable.
•2 to 5 years administrative experience needed - previous work in a construction office environment is ideal.
•Notary would be valuable, but not immediately required.
•Excellent time management, organization and communication skills are needed.
•Proficient in computer skills, especially MS Office (Word, Excel, and PowerPoint) QuickBooks, Procore.
•Valid driver license and dependable transportation.
