We are seeking an organized, self-motivated Office Administrator to provide general support to our customers and team. The Office Administrator will be responsible for responding to emails and organizing files while performing additional office administrative tasks. They will help maintain a structured and organized office to ensure a clean, consistent, team-oriented work environment. The Office Administrator is an essential part of our team, providing support to various departments. A positive attitude and attention to detail are a must.
- Assists office management in maintaining files and databases.
- Prepares monthly billing for clients as well as processing accounts payable.
- Follows up on all accounts receivable and works with productions, estimators, and customers to get any collection issues resolved for work sold.
- Regularly checks mail and deposits checks at bank.
- Prepares company meeting minutes and shares with all core staff.
- Schedules and assigns jobs and duties to technicians as needed.
- Assists with the management of staff schedules as needed.
- Schedules appointments and meetings for management as deemed necessary.
- Serves as the go-to for office inquiries and or staff questions.
- Tracks office supply inventory and approves office supply orders.
- Provides feedback to management and marketing on customer relationships and the customer’s perceptions of the product and service being provided.
- Follows accurate direction on other tasks from management.
- Provides and facilitates team support as needed.
- Valid Washington Driver’s License and the ability to pass a driving background check
- Detail-oriented and works with a high degree of accuracy
- Flexible and willing to adapt to a fast-paced and ever-changing environment
- Ability to multitask and meet changing deadlines
- Bilingual in English and Spanish a plus
5 days paid vacation with 5 paid holidays after 60 days: New Year's Day, Christmas Day, Labor Day, Thanksgiving, 4th of July.
