Position Summary:
We are seeking a dependable and detail-oriented Office Administrator to lead front-desk operations for our small private water utility. In this hands-on role, you will oversee customer service, field staff assistance and coordination, billing functions, record keeping, and office administration. You’ll work closely with a small team and support day-to-day utility functions to ensure efficient service for our customers.
Key Responsibilities:
•Manage daily front office operations, including walk-in customers, phone inquiries, and email correspondence.
•Process customer billing, payments, and service requests accurately and on time.
•Maintain organized customer records, service orders, and billing histories.
•Resolve customer questions, complaints, and service issues with professionalism and care.
•Prepare and coordinate late notices, and service interruption warnings.
•Review and evaluate meter reading data with field staff or billing software.
•Assist with basic bookkeeping tasks.
•Proficient proofreading.
•Support the General Manager with administrative duties, reports, communications, emergency management, and compliance tracking.
•Maintain office supplies, equipment, and vendor relationships.
•Help with scheduling and internal communications among the small utility team.
•Coordinate with outside vendor services.
Qualifications:
•High school diploma or equivalent required; college or technical training preferred.
•; utility experience a plus.
•Proficient working with computer software in general, specifically Microsoft Office (Excel, Word, Outlook), and handling basic accounting tasks.
•10-key experience preferred or ability to learn.
•Strong organizational and multitasking skills.
•Friendly, patient, helpful and professional demeanor when working with the public.
•Able to maintain professional and calm demeaner in emergency situations.
•Ability to work independently and take initiative in a small office setting.
•If unfamiliar with the water utility industry, this individual should be self-motivated to learn a new industry and engage in continuing education opportunities.
•Experience in a utility, municipal office, or similar environment is helpful.
Working Conditions:
•In office 8 a.m., to 3:30 p.m., Monday through Friday.
•Remote work is not an option.
•Small team environment—friendly, collaboration and flexibility are essential.
•Occasional extended hours during busy season, billing cycles or emergencies.
Job Type: Full-time
Pay: $28.00 per hour
Expected hours: 40 per week
