Primary Purpose of this Position:

The Office Administrator is an essential position within our organization, whose primary purpose is:

Ø To provide support to the sales and production teams to facilitate the smooth functioning of the branch and ensure all aspects of the client’s journey are taken care of

Ø Oversee the general office administration by demonstrating excellent organizational and time management skills, attention to detail, and the ability to work independently as well as part of a team

Ø Provide an exceptional experience to client walk-in’s and call-in’s for construction or retail and delegate communication to the appropriate team members as necessary

Position Responsibilities:

1) Sales Team Support/CATeam:

o Sell Consultations

o Collect consultation and design investments

o Enter new client information into all applicable software (including call log)

o Schedule Consultations and confirm time and location

o Host Selection Meetings in absence of designer

o Ensure and provide an exceptional client/customer retail and service experience

o Support DSC’s, Drafters, and Estimators as needed

2) Production Team Support:

o Schedule Preconstruction Meetings

o Assist the project coordinator with scheduling of subcontractors

o Submit city inspections and maintain records in order to keep projects moving

o Create and maintain project folders for project managers and master files

o Create, Print, and File work orders and post time for crews

o Collect, file, and send receipts to accounting office

o Support project managers and project coordinators as needed

3) General Office Administration

o Office supply inventory (manage and purchase)

o File organization and management

o Check incoming messages

o Administer new hire paperwork and deliver to corporate office

o Keep showroom, exterior site, and restrooms clean and manage/delegate responsibilities to do so
