Overview:
Our admin team is dedicated to our customers and clients as RCR returns compromised properties to its pre-loss condition. An Administrative Assistant will service all RCR locations and is responsible for responding to phone calls from customers and vendors, assisting with project documentation and various office operations. In this position, you will support staff with office tasks and provide administrative assistance to guests and employees. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multifaceted role.
Responsibilities and Duties:
•Keep front office area neat and tidy
•Clerical assistance and company operations
•Provide general information to staff, clients, or the public
•Greet and welcome visitors, customers, and vendors
•Answer, screen, and transfer phone calls or take messages
•Provide basic and accurate information in-person and via phone and email
•Update calendars and schedule meetings
•Arrange travel accommodations for management during conferences
•Receive and sort mail and deliveries
•Data entry into RCR’s programs
•Complete Purchase Orders in DASH
•Enter emergency leads from Slack to DASH
•Look up houses for emergency leads to verify addresses and year built
•Organize and maintain files
•Inventory of RCR merch, products, and office supplies
•Assist front office managers as needed
•Manage multiple duties and priorities simultaneously
Qualifications and Skills:
•Minimum HSD/GED required
•Construction or restoration experience a plus
•Proficiency in Microsoft Office and Google Workspace
•Ability to read and understand terminology and construction documents preferred, but not required
•Capable of working in a fast-paced, team-oriented office environment
•Strong communication skills between team and with customers is essential
•Optimism and patience when providing customer service
•Problem-solving aptitude
•Excellent organizational skills, data entry skills with a high degree of accuracy, and strong attention to detail
•Very self-motivated and goal-oriented
•Understanding the importance of following procedures and staying within company guidelines
