About the Job
GENERAL PURPOSE: Responsible for overall front office activities, including the reception area, mail, large purchasing requests and facilities. This individual’s primary responsibilities include handling incoming calls and visitors, while maintaining office common areas and facilitating meetings.
MAJOR RESPONSIBILITIES:
•Answer telephone, transfer calls and greet visitors
•Order food and make coffee for meetings and office
•Make sure is cafeteria clean, including freezer, microwave, tables and coffee machine.
•Manage conference room reservations and organize all aspects for meetings
•Keep current and compile firm marketing materials and library materials
•Assist with copy jobs, messenger coordination or delivery and office service-related items
•Sort, log in all incoming and outgoing mail then deliver, ensure that all checks, certified mail receipts are logged before distributed.
•Tidy and maintain reception area, coffee bars, kitchen, bathroom and supply closets
•Assist in daily operational tasks such as key cards, maintenance requests, parking, communicating supply orders, and schedule swap for shredder bins
•Perform administrative support and backup with tasks such as, filling, photocopying and collating
•Assist with firm-wide/office-wide employee engagement activities
•Keep track of office supplies and bathroom supplies.
•Act as a point person to the DMC office with administrative tasks as needed
•Works as a team to assist with secretarial coverage needs due to overflow and absences
•Tell subcontractors / field employee when they come to pick up check.
•Perform duties as assigned
SKILLS, KNOWLEDGE & ABILITIES:
•Ability to operate multi-line switchboard and greet visitors with pleasant demeanor.
•Excellent verbal and written communication skills
•Attention to detail with strong data entry skills
•Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures
•The ability to learn quickly, exercise good judgment, work well under pressure, and complete tasks in a timely manner
•The ability to communicate effectively and work collaboratively with staff members, clients, and external partners
•The ability to effectively use standard business software such as Microsoft Word, PowerPoint, and Excel and to use the Internet for research and information-gathering
•Professional in attire and attitude
EDUCATION, EXPERIENCE AND/OR TRAINING:
•Minimum of a High School Diploma
•One year of relevant experience preferred
