What You Need to Know
Reporting directly to the Human Resources Manager, the Front Desk Office Administrator is responsible for providing a wide variety of administrative support for the facility and performing Receptionist duties. This is a full-time, in-office position with mandatory working hours from 8:00am - 5:00pm Monday thru Friday.
What We Are Looking For
•Answer main telephone line, take accurate messages, screen and direct telephone calls for management in a timely and professional manner.
•Receive visitors ensuring sign-in log is completed, visitor passes are issued, and safety protocols are followed.
•Ensure office supplies, coffee and other breakroom supplies are being fulfilled on a regular basis.
•Coordinate and distribute incoming and outgoing mail
•Review and answer correspondence.
•Direct administrative support to the Operations Manager as needed.
•Provide administrative support for special projects to include research, data compilation and preparation of summary reports based on results.
•Maintain confidentiality when required.
•Maintain an organized office calendar. Schedule meetings and appointments as needed.
•Keep conference rooms clean and organized for meetings.
•Coordinate the use of conference rooms, including food and beverage setup/breakdown or catering as needed.
•Contact appropriate company for necessary preventive maintenance or service on office building and applicable office equipment.
•Maintain a clean lobby/receptionist area.
•Maintain kitchen and coffee areas and coordinate special office cleaning crew requests as needed.

•High School Diploma or equivalent

•Minimum two (2) years experience as an administrative assistant.
•Proficiency in Microsoft Office Suite is a must.
•Strong data entry experience.
•Self motivated and ability to work with minimal supervision.
•Good communication both verbal and written.
•Ability to read, write and speak English fluently.
•Ability to work onsite Monday thru Friday during normal business hours (8:00am – 5:00pm)
