This position utilizes a variety of administrative and clerical duties to support a small onsite office staff at a Class A Lifestyle Entertainment Retail Shopping Center. The ideal candidate for this position has experience working in a “professional service oriented” business with a can-do attitude, is a good problem solver while also following direction and procedural guidelines, is detail oriented, proactive, resourceful, organized, communicative and accountable. This individual will be able to multi-task and pivot quickly to manage competing demands or unexpected events. Assuring a steady completion of workload in a timely manner and willingness to learn and grow with a positive attitude are keys to success in this position.
Provide clerical and administrative support to all office staff. Excellent verbal, written and interpersonal communication skills when answering a multi-line telephone, processing emails and greeting customers to ensure communications are pleasant and directed to the appropriate person/team in a timely manner. Provide exceptional service to our guests, tenants, staff, and offsite teams from an onsite setting including assisting with property inquiries and promotional events and happenings. Manage, maintain and track office and operational spreadsheets and logs. Assist with financial data processing such as coding/approving invoices and entering data into excel tracking spreadsheets (must understand basic excel formulas and formatting). Reviews reports and collect missing data. Timely and accurately complete assigned projects. Assist with promotional events and giveaways. Assist with photoshoots. Assist with operational tasks as needed. Assume responsibility and record-keeping for maintenance of office equipment & recurring office services, including printer/copy machines, postage machine, small kitchen appliances, document shredding services etc. Assure the reception, conference, kitchen/copy and other common areas of the office are tidy, neat and orderly in appearance at all times. Organize and maintain office storage and supplies. Order and manage office, kitchen and catering supplies. Assist in the planning of lunch meetings and employee celebrations. Attend, participate and take notes/set agendas for internal office meetings. Manage office mail and package deliveries. Light Filing & Scanning of documents. Perform all other duties as assigned.
Two years of recent administrative experience. A high school diploma or GED is required as are an understanding of a “professional service oriented” business. Capacity to handle complex and sensitive issues with tact or discretion. Working knowledge of a multi-line telephone system, printer/copy/scan machines, calculators, small kitchen appliances and postage machines. Must be technologically proficient in Microsoft Office365 (which includes Outlook, WORD, EXCEL, PowerPoint, ONEDRIVE, Teams and Internet Explorer), Adobe, Zoom Meetings and Zoom Phone; Knowledge of MRI & Avid preferred but not required. Must understand basic excel formulas and spreadsheet formatting. Must have ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists while also having the ability to follow direction, procedures and guidelines when applicable. Must have the ability to read, analyze, process and interpret general business documents and to work with electronic documents within a cloud based network and computer system. Must have understanding of basic bookkeeping principles.
Ability to positively interact with customers, vendors, and other employees verbally and visually by telephone, electronically and in person.
Vision sufficient to read and understand printed forms and handwritten information and to work with a computer display. Manual dexterity sufficient to work with papers, files and packages.
Ability to lift and carry up to 15-20 lbs and ability to climb a ladder up to 30” tall.
Comprehension of spelling, composition, grammar and mathematical guidelines.
Job Type: Full-time, Monday - Friday, 8:00am -5:00pm
Pay: $20.00-$26.00 Hourly. Offers are based on experience.
