The Document Controller and Project Coordinator support engineering and project execution activities by managing technical documentation and providing structured project coordination through accurate tracking, reporting, and cross functional administrative support. The role administers the Company Document Management System (DMS), coordinates documentation workflows between internal stakeholders and external suppliers, and ensures data integrity through consistent standards, quality checks, and compliance with company and regulatory requirements. This position contributes to process improvement, system enhancements, and user training related to technical documentation and information management. The role operates under moderate supervision within the document control team and provides the opportunity to grow into a senior level position.
- Documentation Control & DMS Administration Manage the technical documentation process between company, customers, and suppliers using the designated Document Management System (DMS). Responsibilities include receipt and registration of supplier documentation, issuance to internal review groups through electronic workflows, tracking and expediting documentation status, maintaining accurate metadata and revision control, and generating documentation status reports and KPIs.
- Project Management Process. Assist in the planning and coordination of project activities by tracking documentation‑related action items, coordinating with Engineering, Supply Chain, and Projects, and maintaining awareness of engineering and project execution phases to support timely and complete document deliverables.
- Technology & Automation. Proactively learn and adopt new systems, digital workflows, and tools to support document control activities. Identify and support opportunities to streamline document control processes through automation, including the use of DMS‑native workflows and tools such as Power Automate. Maintain strong working knowledge of Microsoft 365 tools, OpenText, and other applicable DMS platforms.
- Reporting and Analytics. Prepare and maintain documentation status reports, dashboards, and project progress summaries to support visibility, tracking, and decision‑making for projects and stakeholders.
- On-Site Project Support & Back-Up. Provide on‑site project support when required, including document retrieval, coordination of transmittals, and administrative support related to technical documentation and project execution.
- Offshore Personnel Training. Provide training and training materials related to technical documentation and document control processes to offshore personnel. Gather and review feedback from rigs to support continuous improvement of documentation practices.
- Minimum Required: High School Diploma; High School or GED required
- Preferred Level: Bachelor's Degree; University degree and/or equivalent experience and training in Project Administration, Engineering or Human Resources.
- Minimum Required: 4 years’ experience as a Project Document Controller or in a similar document control role within the oil & gas, construction, manufacturing, or industrial engineering environment. Strong understanding of engineering and technical documentation lifecycle, including creation, review, approval, revision control, and archival. Working knowledge of industry standards and regulatory requirements applicable to offshore and/or energy-related projects (e.g., client, authority, and company documentation standards). Proven experience as a Document Control Superuser or advanced user within a company document management system (DMS). Demonstrated ability to manage large volumes of technical documents while maintaining accuracy, traceability, and compliance. Strong organizational skills with the ability to support multiple projects simultaneously and meet tight deadlines.
- Preferred Level: 5+ years’ experience as a Project Document Controller or in a similar document control role within the oil & gas, construction, manufacturing, or industrial engineering environment. Strong understanding of engineering and technical documentation lifecycle, including creation, review, approval, revision control, and archival. Working knowledge of industry standards and regulatory requirements applicable to offshore and/or energy-related projects (e.g., client, authority, and company documentation standards). Proven experience as a Document Control Superuser or advanced user within a company document management system (DMS). Demonstrated ability to manage large volumes of technical documents while maintaining accuracy, traceability, and compliance. Strong organizational skills with the ability to support multiple projects simultaneously and meet tight deadlines.- Minimum Required: PC skills with strong working knowledge of Microsoft Office, including Excel, Word, Outlook, and PowerPoint, for document tracking, reporting, and correspondence. Proficient use of Adobe Acrobat for reviewing, compiling, marking up, and managing technical PDF documentation. Hands on experience as an advanced user or superuser in a Document Management System (DMS) (Open Text Aconex, Filenet, Procore, etc) within a project environment, with the ability to manage document registers, revisions, transmittals, and distribution workflows. Working knowledge of SharePoint or similar collaboration platforms to support controlled document sharing and coordination across project teams. Strong ability to learn and adapt to new systems and software quickly, while maintaining accuracy, traceability, and compliance with established document control procedures.
- Preferred Level: Advanced proficiency with enterprise Document Management Systems (DMS), with hands on experience using platforms such as OpenText, Aconex, Procore, or equivalent systems within a project execution environment. Strong capability in leveraging DMS native workflows and automation tools to streamline document transmittals, review and approval cycles, notifications, and reporting. Demonstrated ability to optimize document control processes through automation, standardization, and continuous improvement initiatives. Proactive, solution-oriented mindset with a strong willingness to adopt new technologies, improve existing workflows, and support an automation first approach to document and project information management.
