Brief Description
The
Business Administratorprovides comprehensive administrative and accounting support for three Simple Cycle power plants. This role manages daily administrative operations, plant accounting activities, document control, and front-office functions while supporting budgeting, cost tracking, and coordination between the plant, headquarters, and regional support teams.
The Lincoln Generating Facility is a 600 MW Simple Cycle Power Plant located in Manhattan, Illinois.
Essential Duties And Responsibilities Accounting & Business Support
- Assist with plant budget setup, forecasting, change orders, and closeout activities using the CMMS system (Maximo).
- Monitor and track project and contract costs, including committed and actual expenses.
- Process invoices, purchase orders, vendor setup, and related accounting documentation.
- Maintain inventory and financial records to support cost control and reporting.
- Coordinate information for accurate progress and monthly business reports.
- Monitor and process vendor and customer cost change requests.
- Provide high-quality administrative and project support while managing multiple deadline-driven tasks.
- Prepare, edit, and maintain documents, reports, and correspondence using Microsoft Office (Word, Excel, PowerPoint, Project).
- Maintain organized filing systems and document retention in compliance with company standards.
- Manage incoming phone calls, mail distribution, and visitor access in a professional manner.
- Coordinate meetings, office supplies, equipment, and general office support needs.
- Liaise with corporate accounting, finance, and regional teams to implement systems, procedures, and reporting requirements locally.
- Enter and maintain purchasing and accounting data in the CMMS to ensure accurate recordkeeping.
- Assist in gathering and preparing documentation for management and site personnel.
- Support vendor communication, bid solicitation, and administrative aspects of training activities as needed.
- Associate degree in Business, Accounting, Engineering, or a related field.
- Relevant industry experience may substitute for formal education.
- Minimum of 2 years of experience with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Familiarity with Computerized Maintenance Management Systems (e.g., Maximo, SAP, Infor, Hexagon EAM) preferred.
- Basic knowledge of Microsoft Project is a plus.
- Working knowledge of accounting principles, accounts payable, and cost control processes.
- Experience supporting budgeting, forecasting, cost tracking, and financial reporting.
- Ability to manage invoices, purchase orders, and inventory records accurately.
- Strong written and verbal communication skills.
- Ability to interact professionally with employees, visitors, vendors, and management.
- Proven ability to organize work, manage multiple priorities, and meet deadlines.
- Demonstrated independent judgment and problem-solving ability.
- Strong customer service orientation and attention to detail.
- Adaptable and capable of managing shifting priorities in a fast-paced environment.
Summary
Applicants must possess a
valid driver's licenseand maintain a clean driving record, as this position requires occasional travel for company business. Candidates should be comfortable operating a vehicle as part of their job responsibilities and must meet any applicable company and insurance requirements.
