- Exceptional organizational skills & attention to detail, with the ability to multitask and prioritize
- Excellent computer skills with the ability to learn new software quickly
- Experience using Microsoft Office (Word, Excel, Outlook) and basic office equipment
- Experience in customer service and reception
- Excellent written and verbal communication skills
- Ability to manage time effectively and work independently
It would be considered an asset if the candidate had:
- Experience working in an office environment
- Experience using SAP Business One and/or SAP Field Service Management software
- Familiarity with the electrical utility field
The Administrative Assistant will handle a variety of administrative tasks, ensuring smooth office functionality and providing exceptional support to the administrative team, management, and service technicians. The duties associated with this role include, but are not limited to:
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records
- Organize and file documents both physically and electronically, ensuring easy retrieval
- Support project creation process, including basic quotations
- Send & track project reports and communications
- Assist with basic accounting tasks
- Light shipping & receiving duties
- Travel arrangements
- Support customer service efforts by responding to inquiries and providing support via phone or email
- Support team with miscellaneous clerical duties as needed
This role reports to the Administrative Manager and works closely with the scheduling administrator and management team.
