We are seeking a reliable and detail-oriented Administrative Assistant to support daily office operations. The ideal candidate is organized, proactive and comfortable handling a wide range of administrative and clerical tasks while maintaining a professional and positive attitude.
· Manage and organize office files, records and documents
· Answer and direct phone calls, emails and other correspondence
· Assist in the preparation and maintenance of project documentation, reports, and records.
· Schedule and coordinate project meetings, including preparing agendas and taking minutes.
· Facilitate collection of daily work vouchers, track material purchase and reconcile against billing.
· Procure and track material costs associated with each individual project.
· Handle data entry and maintain accurate records
· Assist with invoicing or expense tracking, as needed
· Support managers and team members with administrative tasks
· Maintain a clean, organized and efficient office environment
· At least 3 years experience as an administrative assistant or in a similar role
· Proficiency in Microsoft Office (Word, Excel, Outlook) or Google Workspace
· Experience with office management systems or CRM software
· Understanding of project administration is an asset
