Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, managing communications, and ensuring efficient workflow. The ideal candidate will possess strong office management skills, proficiency with various computer applications, and excellent customer service abilities. Bilingual skills are a plus, as well as experience with front desk responsibilities and clerical tasks. - Manage front desk operations, including greeting visitors
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for various administrative tasks
- Assist with calendar management, scheduling appointments, and coordinating meetings
- Provide exceptional customer service via phone, email, and in-person interactions
- Support office management tasks such as organizing supplies, managing correspondence, and maintaining office cleanliness
- Assist in billing and bookkeeping
- Support personal assistant duties including travel arrangements and personal scheduling for executives
- Maintain high standards of phone etiquette and professional communication at all times
- Previous office experience or clerical background preferred; experience in medical or dental reception is a plus
- Proficiency with Microsoft Office (Word, Excel, Outlook), and data entry tools
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent proofreading skills, and attention to detail
- Demonstrated ability to provide outstanding customer support and maintain confidentiality
- Prior experience in office management or administrative roles will be considered an asset
