Accounts Receivable Specialist

SUMMARY

Provides customer service by ensuring that the proper credit procedures are followed according to our policies and procedures.

WORK HOURS

Normal work schedule is 8:00 am to 5:00 pm with 1 hour lunch break.

Occasionally, during our busy season, additional hours may be required to meet our business needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

· Responsible for efficient communication, harmonious interaction, and support of co-workers and management team members.

· Research and resolve returned checks/e-checks.

· Runs report monthly for balances on COD customer accounts. Research and resolve as appropriate.

· Reconciles QualPay payments and posts website payments daily in Ignite.

· Posts payment from daily payment schedule.

· Posts daily lockbox file.

· Acts as administrator for all Fuel Assistance programs (set up, state billing and back up to payment posting).

· Scan checks that come in the mail or dropped off by customers to Pentucket bank.

· Answers accounts receivable phone inquiries and follows up. Also, research and processes customer claims of invoice payment.

· Reviews contents of package received from Lighthouse each week. Processes payments and add notes to accounts as appropriate.

· Runs weekly report of customers on auto charge per collection code for balance on customer’s account and follow up as needed.

· Runs daily small balance report (2.00 – 25.00) and adjusts as appropriate.

· Runs daily payment report of terminated and potential customers to review for mis-applied payments and adjusts as appropriate.

· Runs weekly scheduled payment report to ensure there are no delays due to declined payments and/or other issues.

· Updates customer notes on payment promises & discussions with customers. Follows up to make sure promises are met.

· Receives incoming calls from Credit Loop, including our CSR’s, sales, and service teams regarding customer inquiries.

· Reviews credit reports for new customers, as needed.

· Records & reviews follow-up notes in a timely manner.

· Recommends accounts to be placed for collection.

· Reviews and responds to emails in Credit inbox as assigned.

· Makes payment arrangements for existing or new accounts for merchandise purchased or service work, as needed.

· Assists in performing tasks of other personnel within the department as needed.

· Ability to learn and cover for the customer service department in the event of an emergency.

· Works on special projects and miscellaneous duties assigned by the manager.

There are no supervisory responsibilities for this job.

SAFETY

Working safely is a condition of employment. Employees shall verbally report and photograph all crashes / injuries to their Manager immediately. If your manager is not available, report the crash / injury to the Safety Director, another Manager, or Human Resource Manager.

EDUCATION and/or EXPERIENCEAssociate degree (A. A.) or equivalent from a two-year college or technical school and two to three years of collection experience. Must be able to pass PERC Education Program (PEP).LANGUAGE

SKILLS

Must speak fluent English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

COMPUTER SKILLS

Microsoft Office suite: Word, Outlook, Excel is a plus. Ability to quickly learn our computer software. Use Google Drive and search the employee intranet.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and general accounting skills.

REASONING ABILITY

Able to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
