JOB SUMMARY
The Operations Analyst - Correspondence is responsible for various day-to-day activities related to customer document and product fulfillment and internal mailroom areas associated with the day-to-day operations directed by the correspondence manager or outlined by Regulatory to adhere to various states’ Commissions or Utility’s correspondence requirements. This position will receive high level direction from senior staff and management of work tasks and activities. In addition, this position will assist with various back office related activities as needed for Spark Energy and family of companies.
- Fulfill Correspondence Extracts (Adverse Credits, Enrollments/Welcome, Rate Change Confirmations, Contract Expiration Notices, Dunning Notices, Status Notices) or Adhoc Extracts assignments
- Perform Quality Assurance and Business Validations
- Ensuring system generated extracts adhere to Business Rules, Correspondence Triggers, Regulatory Rules, Correspondence Matrix, and Department SLAs
- Ensuring Customer Correspondence PDFs adhere to Approved Templates, Expect Data Elements and Attributes, Delivery Method, and Storage and Accessibility
- Monitor designated alert queues (missing records, incomplete records, system issues) for resolution; includes contacting internal/external departments and vendors for applicable remediation
- Report and thorough follow-up with all reported issues from logging issues to final resolution
- Handling Returned Mail Process following outlined team procedures
- Support Internal Mailroom assignments
- Following through on assigned tasks with excellent management skills and handling deadlines
- Proficiency with Microsoft Office Suite, including advanced knowledge in Excel, Word, and PowerPoint as well as CRM database skills
- Must be well organized, prioritize well across competing priorities and be willing to follow up with support teams, as necessary
- Associate's degree or a High School degree combined with related education, training, and experience
- Excellent written and verbal communication skills
- Experience with writing or reading SQL queries is a plus
- Ability to meet highest attendance requirements
- Ability to manage multiple tasks concurrently
- Ability to use personal computers, calculators, etc
- Could involve some lifting up to 20 pounds
- Ability to sit for extended periods of time without much movement
- Ability to work in time-sensitive environment with non-flexible deadlines
- All candidates must have the ability to speak, read, and write English
