About This Job

Summary

The Office Coordinator/HR Assistant provides office support by performing various tasks and services for the Office Director and the HR department. This position collaborates with various management levels on projects that contribute to the team's success. This role uses discipline-specific knowledge, skills, and abilities to assist with multiple projects, presentations, and business improvement opportunities. This position performs other career-related responsibilities as assigned. This fast-paced position ensures the team's day-to-day operations run efficiently and effectively.


Duties and Responsibilities

Primary duties:

+ Greet guests and customers by greeting them in person or on the telephone and answering or directing inquiries. + Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies. + Oversees office cleanliness, directing cleaning staff and monitoring break areas for cleanliness. + Employee Orientations + Performs customer service by answering phone calls with employee requests and questions. + Scan documents into the appropriate employee files + Assist with benefits enrollment for new employees and Open Enrollment. + Distribute PPE to field Superintendents
New Hire Responsibilities:
+ Process hourly/salaried new hires, set up in HRIS, and complete all documentation. + Ensure all I-9 information for all Kent Companies Central Texas Employees is handled with the utmost confidentiality. + Assist with preparing New Hire Orientation packets to include all benefit information. + Explains Benefits packets to new hires. + Processing Benefits information for the employees requesting insurance. + Overseeing workspace assignments and upkeep of the overall office aesthetics. + Responsible for the distribution of company property/technology, including paperwork. + Responsible for ensuring mail is checked throughout the day. + Responsible for assisting the Assistant HR Manager as needed and requested.

Required Experience, Education, and Qualifications

Proficient with Microsoft Office Suite, HRIS, and other various software platforms

Must have experience handling I-9 Forms, E-Verify, and General HR Issues for multiple locations and states.
Excellent communication skills, with a focus on administrative writing
Ability to manage multiple priorities and assess appropriate priority levels
Task-driven and detail-oriented, and able to stay on task and follow through
Possesses strategic coordination, planning, and organization skills
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
Thrives in a fast-paced work environment and has the ability to learn new skills quickly.
Must have reliable transportation to the workplace(s)/ job location(s).
Ability to pass drug screening.
Must be able to work in the United States without corporate sponsorship now and in the future.
Bilingual (English/Spanish)


Preferred education and experience

A bachelor’s degree in a related field or an associate’s degree in human resources management is preferred but not required.
HR-specific Certifications (SHRM/PHR)
2+ Years of experience in HR as an HR Clerk or HR Generalist

Work Environment/Physical Demand

This position works in an office environment, requiring extended periods of sitting.

Position type, travel, and expected hours of work

This is a full-time office position. Occasional day and overnight travel is required. Typical hours will range from 45 to 50 per week and are subject to change. Due to the critical nature of the role, accepting phone calls even during non-typical workdays and hours is also necessary.
