Job description
We are currently looking for a diligent HR Coordinator Administrative Assistant. This role involves assisting the HR Manager with tasks throughout all areas of the HR department. In addition to recruiting and assists with guiding employees through various human resource processes, answering any questions they may have about policies.
An HR Coordinator may also assist with administering benefits, processing payroll and handling any problems or questions. The position also has an active role in ensuring all human resource functions are complying with local, state and federal regulations. As well as cross-training with the accounting administrative assistant and their tasks.
Responsibilities
Payroll / HR
•Review timecards for accuracy and completeness and obtains any information that is missing or incorrect
•Performs payroll related data entry by entering timecard data into the system
•Maintains computer payroll related files including employee files, payroll ledger and journal
•Maintains paper and electronic files of payroll related documents always maintaining confidentiality
•Works with the HR Manager on prevailing wages and verifying any changes in pay scale
•Prepares and completes the employment related documents with or for employees
•Creates special or regular payroll and job cost related reports for management, government, and other parties
•Contact and arrange interviews for potential new employees, as needed
•Conduct new hire orientation
Administrative (Cross Training)
•Greet and receives incoming visitors
•Answers all incoming telephone calls, opens, date stamps. Distributes incoming mail and other deliveries (except deliveries of construction material) and prepares all outgoing mail and small packages
•Handle service calls for office equipment
•Maintains stock of office supplies and orders office supplies including field employee attire
•Assists in the facilitation of company sponsored events
•Accounts Payable (Cross Training)
•Set up new vendor/subcontractors and collect W-9 information and set up in Foundation software.
•Monitor and collect lien releases from vendor/suppliers after payments
•Match purchase orders, receiving documentation to the invoice
•Performs accounts payable and purchase order related data entry
•Reconcile accounts payable monthly
•Trace and consistently follow through on discrepancies between invoice, purchase order and receiving documentation with purchasing manager and/or vendor and subcontractors.
•Prepares subcontracts, monitors payment schedules and tracks all insurances required
•Maintains accounts payable related files including Foundation software upkeep
•Prepare Annual 1099’s for applicable vendor/suppliers and subcontractors
Skills
•Experience with California/Davis Bacon Prevailing Wage - Required
•Previous H/R and payroll experience-Required
•Previous experience working for a construction or plumbing company
•Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams)
•High School Diploma or Equivalent (GED) - Required
•2+ Year Degree in Human Resources preferred or construction office experience
•Bilingual – not a requirement, just a plus!
