Force Inspection Services is a leading oilfield asset and tubular management and services company to the upstream oil and gas industry. Its core business revolves around drill pipe, drill tools, sucker rods, casing and production tubing, coating services, and tubular products for production and completion. Force’s services include in-plant and mobile inspection, repair, machining, and manufacturing.
Reporting to the Director of Operations, the Administrative Assistant will provide critical support across multiple departments, including inventory management, operations, health and safety, and general administration. This role ensures the efficient handling of inventory and yard resources, facilitates seamless communication across teams, manages documentation with high confidentiality, and supports safety compliance efforts. The ideal candidate is organized, detail-oriented, and thrives in a dynamic, fast-paced environment.
Duties & Responsibilities:
Inventory and Yard Coordination
•Act as the main point of contact for all pipe movement within the yard, liaising with internal teams and customers.
•Manage yard resources, equipment, and tubular inventory for both new and existing customers.
•Conduct regular physical inventory of tubulars and maintain high-level inventory accuracy.
•Identify and resolve inventory discrepancies as needed.
•Utilize the in-house computer system to track and monitor inventory levels.
•Implement efficient storage methods to ensure optimal organization and accessibility of materials.
•Review and assess asset management practices within the yard.
•Order parts and supplies for jobs and equipment as required.
Administrative and Clerical Support
•Answer and direct incoming calls in a professional manner.
•Provide administrative assistance including document preparation, data entry, and scheduling.
•Maintain well-organized departmental files and records, ensuring documentation is handled with a high level of confidentiality.
•Manage incoming inquiries and correspondence, redirecting them appropriately.
•Prepare and process work orders accurately and in a timely manner.
•Generate and issue invoices for completed work or orders.
•Support operations teams with related administrative tasks.
Health and Safety Support
•Provide administrative support for the Health and Safety program, including documentation, data tracking, and general coordination.
•Assist in the general administration of safety-related initiatives and activities.
•Complies with Force Inspection’s Health & Safety program and Occupational Health & Safety Regulations.
Knowledge, Skills & Abilities
•Minimum 3 years’ experience in an administrative, inventory coordination, or office support role.
•Strong organizational and multitasking skills with excellent attention to detail.
•Ability to work independently and handle confidential information with discretion.
•Proficiency in Microsoft Office Suite and experience with inventory tracking or ERP systems.
•Excellent written and verbal communication skills.
•Knowledge of or experience in a pipe yard or industrial environment is an asset.
•Familiarity with health and safety practices and learning management systems is a plus.
