Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing the day-to-day office operations, entering customer orders, and ensuring efficient workflow. This role is crucial in maintaining the success of the business by communicating with customers, vendors and members of the Caliber team.
Duties
•Familiar with Microsoft Great Plains (GP) accounting and order entry software encouraged, but not necessary.
•Proficient with Microsoft Office; Outlook, Excel, and Word
•Order entry. Responsible for entering customer orders, ensure accuracy and correct pricing, then send confirmations to customers.
•Responsible for daily invoicing.
•Responsible for reconciling Accounts Receivable, working with customer accounts to ensure that they current.
•Perform clerical duties such as filing, data entry, and document preparation.
•Manage front desk operations, answering phone calls professionally, communicating with customers, and vendors.
•Issue purchase orders for shop supplies, personal protective equipment (PPE), boxes, packaging lumber, and strapping.
•Collaborate with the human resources department on employee onboarding and other HR-related tasks.
•Input bank deposits, issue backorder reports.
Skills
•Strong schedule management skills to prioritize tasks effectively.
•Proficient in office management practices and procedures.
•Experience with payroll systems and clerical work is preferred.
•Front desk experience with a focus on customer service and phone etiquette.
•Knowledge of human resources processes is a plus.
