Job Overview
We are seeking a highly organized and detail-oriented Installation Operations Coordinator to join our team. This role focuses on scheduling, logistics, customer communication, and supporting our install teams from start to finish. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with office management tools. - Schedule and coordinate HVAC/Propane installations, adjusting plans as needed based on progress, materials, or customer needs
- Communicate with customers about project details, timelines, and provide ongoing customer service support
- Collaborate with technicians and sales staff to prepare daily install plans and support meetings as required.
- Order, stage and track equipment and materials; ensure permits, job packets, and documentation are completed accurately
- Support job closeouts, including capturing information for billing and job costing
- perform general office and clerical duties, including inbound and outbound customer service across multiple departments, filing, document management, handling multi-line phones, and assisting office visitors
- Proficient with Microsoft Office Suite, with a strong focus on Excel (Pivot tables, formulas, data analysis)- 2+ years of scheduling, dispatch, coordination, logistics or project support
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Comfortable with computer systems and learning new software
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills both verbal and written
- Experience with office management systems including multi-line phone systems and front desk operations
- Strong data entry skills with high accuracy
- Customer service expertise with professional phone etiquette and customer support capabilities
- Ability to manage calendar appointments efficiently and handle time-sensitive tasks
- Knowledge of proofreading and document review processes to accuracy and clarity
