Job Description
Provides a high level of administrative support throughout various levels of the Company and engages in the department’s strategic direction contributing to agreed upon goals and objectives. Ensures accurate and timely processing of documents, reports, records, and data, as well as administering budgets and important reporting functions. Acts in an empowered manner to create and maintain a well-run, professional workplace, and to enhance the area’s image internally and externally. Ensures open lines of communication throughout the company and good working relationships with other areas. Maintains a high level of confidentiality and demonstrates an ability to handle sensitive information in an appropriate manner.
Responsibilities
- Performs department or function-specific administrative duties including managing calendars and schedules, answering calls, receiving visitors; providing routine information, screening and referring visitors and calls to the appropriate person.
- Schedules and coordinates logistics for meetings and conferences; may make travel arrangements. Tracks reoccurring meetings and ongoing communication.
- Maintains a variety of complex records including materials of a highly sensitive or confidential nature; establishes and maintains filing systems.
- Performs technically complex support tasks requiring independent judgment and decision-making.
- Prioritizes multiple tasks with minimal supervision, while maintaining flexibility in a constantly changing, confidential, high-energy environment. Anticipates business needs and acts on matters within their control.
- Creates reports, presentation materials, graphs, charts, and visual marketing materials. Assists in the design, layout, and construction of presentations. Maintains an understanding of relevant technology resources, information, and support.
- Interfaces with internal departments and external stakeholders related to the project or department and acts as a communication bridge and liaison.
- Manages budget administration for department.
- May train and mentor other administrative support personnel.
- Independently identifies and implements improvements to administrative processes, actions or workflow.
Administrative Support Specialist:
- 2 years related experience required.
- High School diploma or GED required.
- Associate degree preferred.
- Requires intermediate proficiency in computer skills using Microsoft Office, databases, and standard office equipment.
- Exhibits attention to detail, ability to adapt daily schedules and routines, and a focus on efficiency without sacrificing quality.
- Effective and flexible verbal and written communication skills required.
- High level of professionalism and ability to handle sensitive and confidential information.
Hiring Range: $22.31 to $28.34 per hour
Administrative Support Specialist II Includes The Above Requirements Plus
Hiring Range: $25.28 to $32.35 per hour
Other Combinations Of Education And Experience May Be Considered. Hybrid work options are available for this role. The successful candidate will be required to work at our Spokane, Washington headquarters at least 3 days per week including Mondays and Tuesdays with additional day(s) determined by the manager. In compliance with state laws, we provide the full salary range for each position, along with the typical hiring range based on qualifications, experience, and internal equity.
