Summary: This position supports all aspects of corporate & branch operations with a strong focus on administrative, business systems support and process management.
- Provides administrative, organizational, and strategic support to senior leadership.
- Provide executive-level communications and materials, and serves as a key liaison between executives, internal teams, and external partners.
- The position requires exceptional discretion, sound judgment, strong communication skills, and the ability to prioritize competing demands in a fast-paced environment.
- Must support and comply with all policies and procedures established at the corporate or branch level.
- Job will require up to 25% travel to other branches for support, process oversight, training, and meetings.
- Additional duties may be assigned.
- Management of department administrative processes. Understanding, analysis, evaluation, and measuring of all processes and procedures are essential and required.
- Continuously developing / implementing new innovative processes and continually improving existing processes.
- Provide training and support of the Procede/Excede software, Warranty / CIF process, Teams Up calendar, Time Card entry, Go Canvas, and any current or new Technology used for the Service Department.
- Onboarding support & training of new office team members.
- Providing information and responding to requests from corporate office departments such as Credit, HR/Payroll, and Accounting.
- Perform bi-weekly WIP reviews at a corporate level to identify any locations falling behind in timely closing of RO’s and to identify any potential risks or issues.
- Providing monitoring and analysis of service metrics leading to identification of potential issues and concerns.
- Management of all PM agreements/contracts and reconciliation of the Pre-Paid PM account.
- Provide support of assigned special projects from ELT.
- Manage and support branch personnel in the knowledge of warranty coverages / terms / requirements, claim creation, and claim submission.
- Facilitate both ILT & WBT for new branch personnel assigned to handle warranty claims and conduct monthly online meetings to communicate updates and review topics.
- 5–10 years in administrative support or similar
- Strong business acumen, organizational, and communication skills
- Microsoft Office Suite
- Bonus: power generation or industrial application experience
