We are seeking a detail-oriented and organized Accounting Specialist to support our day-to-day accounting operations. This role is responsible for managing accounts payable and receivable activities, maintaining accurate financial records, reconciling transactions, and assisting with administrative accounting tasks. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to work independently while ensuring accuracy and timeliness in all financial processes. The position reports to the Accounting Controller, and compensation will be based on qualifications and experience. The work would initially start out as full-time in the office with the possibility later for hybrid-remote work with some days spent working remotely away from the office each week.

- Review and track vendor invoices, ensuring accuracy by matching them to corresponding purchase orders and verifying that goods or services were received.
- Scan and categorize invoices within the accounts payable system.
- Communicate with vendors to resolve billing discrepancies and ensure timely payment processmg.
- Reconcile and record monthly credit card transactions.
- Assist with the preparation and filing of sales and use tax returns (training provided).
- Process daily financial transactions including check deposits, credit card payments, and ACH receipts.
- Assist with Payroll processing.
- Record and categorize customer payments within invoicing and accounting systems.
- Monitor and review daily bank reconciliations for accuracy.
- Provide support for other administrative accounting duties as needed.
- High degree of accuracy and strong attention to detail.
- Excellent organizational and time management skills.
- Strong follow-through and ability to manage tasks efficiently.
- Proficiency with Microsoft Word, Excel, and Outlook.
- Experience with QuickBooks Online and Bill.com is preferred.
- Experience with Paycom helpful.
- Strong oral and written communication skills.
- Customer-service oriented approach when working with vendors and clients.
- Ability to work independently and prioritize multiple tasks.
- Strong numerical aptitude and comfort working with financial data.
